Why transcribe meetings with AI inside the room itself
Most transcription tools work as a "robot guest" that joins your meeting on Zoom, Meet or Teams, records it and hands back a text. It works, but it has hidden costs: one more subscription, a strange participant on the call that puts the client off, and a loose text that someone still has to turn into minutes and file in the right place.
In Rollin Meet, transcription is part of the room. Recording starts on its own when someone joins, the audio becomes a transcript, the transcript becomes minutes, and the minutes go to the contact record, to the client's email and, if you want, to your own system through the API. Minutes after the meeting ends, in this order:
- Recording saved: video with a branded layout (logo, color, title and date) and separate audio for the transcript.
- Transcript: in Portuguese, with the full conversation. Long meetings take a few extra minutes.
- AI minutes: subject, key points, decisions and next steps, in short items that anyone can understand without having been in the meeting.
- Sentiment analysis: overall tone with a score, sales temperature, signs of interest, doubt or objection with the exact quote, and a suggested next step.
- Email delivery: with one click, the minutes go out as a PDF with your company's brand to the client and anyone else you choose, along with the recording link.
How the minutes reach the client
The email carries your company's brand, the key points of the minutes in the body of the message, the attached PDF and a button to watch the recording on a public page with an expiration, no login required. You choose what goes into the PDF: just the minutes, the full transcript, poll results and, for internal use, the sentiment analysis. Every send is logged in the meeting timeline.
Storage in Brazil, retention you control, LGPD
Recordings, transcripts and minutes are kept in private storage in São Paulo, isolated per company. Recording links are signed and expire (from 7 days to 1 year, your choice). The entry screen tells guests the meeting is being recorded. We keep them for 3 months on the Pro plan and 12 months on Business, and you can delete any recording before that. Rollin does not use or resell the content of your meetings.

Frequently asked questions
Is the transcript in Portuguese?
Yes. The transcript and the minutes come out in Brazilian Portuguese, even when the live captions were in another language for some guest.
How long does it take for the minutes to be ready?
A few minutes after the meeting ends, depending on its length. The meeting screen shows the stages (recording saved, transcript, minutes) and updates on its own. One-hour meetings are usually ready in under ten minutes.
Can I transcribe a meeting that happened outside Rollin Meet?
Yes. In the meeting, under "I have a recording made outside the room", you upload the audio or video and the transcript and minutes are generated the same way.
Who receives the minutes?
Whoever you choose: the meeting contact and participants are already selected, and you can add other email addresses. The email goes out with a PDF in your company's brand and is logged in the meeting timeline.
Is the transcript accurate?
The transcript is generated automatically and may have small inaccuracies in proper names and acronyms. The AI writes the minutes from it without inventing content, and you can review them before sending.
